Accessibility Services

SETAC Europe is committed to making its events accessible to all participants. This commitment is reflected in our venue choice and in the services we aim to provide throughout the meeting.

Disabilities or Special Requirements 

We are happy to address any specific accessibility-related questions. To ensure we can accommodate your needs, we kindly ask that you contact us in advance. If you have a disability or special requirement that we should be aware of, or if you need any type of accommodation or have questions about physical access, please contact us at [email protected].

Allergies/Food Requirements

Participants with food allergies or special dietary requirements should notify us by 1 April. Please contact
[email protected] so we can make appropriate arrangements.

Pronouns

We provide the option to add pronouns to badges and encourage their use. For information, please see “What are personal pronouns and why do they matter?

Restroom Policy

SETAC strives to ensure a welcoming and inclusive space for all. Participants are encouraged to use the restroom that best aligns with their identity or preference. Where possible, gender-neutral restrooms will be available at the venue.

Quiet Room

To promote the well-being of participants, a quiet room will be available as a low-stimulus space for rest and reflection. This room is designated for quiet use and should not be used as a working area. During designated breaks, the quiet room will also provide an opportunity to practice yoga or meditation.

Service Animals

Pets are not permitted at the conference. However, assistance dogs and other service animals are welcome.

Children at the Meeting 

If you would like to bring your child to the meeting, please email [email protected] at least one month prior to the meeting.   

Please note that children must be under the direct supervision of their parents at all times. Parents recognise that this is a professional meeting and that our exhibitors bring expensive and valuable equipment to the meeting, and parents are held responsible for any damage their children may cause. Damage caused by children is not covered by the event insurance. SETAC reserves the right to ask parents to remove the child from the meeting. 

All children must be registered by email in advance. Children who are not registered will not be permitted to access any rooms, including the exhibition hall. Additionally, parents will be required to sign a special authorisation form, which will be sent to you before the meeting.

Family Room

A family room will be available for participants who wish to spend time with their children during the meeting. Children must be supervised by their parents at all times and may not be left alone.

Babysitting Services

If you require babysitting services during the meeting, we recommend contacting your hotel directly for local options.

Nursing facilities  

If you require any nursing facilities during the meeting, please email [email protected] at least two weeks prior to the meeting.   

SETAC Europe Diversity and Inclusion Committee

The SETAC Europe Diversity and Inclusion (D&I) Committee promotes inclusive practices at our meetings. We encourage participants to share any additional suggestions by contacting [email protected], and these will be forwarded to the committee. Additionally, the committee hosts an informal LGBTQIA+ gathering during the meeting each year, where your input is also welcome. Be sure to check out our parallel events at the meeting.
