Meeting Volunteers

Are you interested in helping at the SETAC Europe Annual Meeting?

We are looking for motivated students willing to assist during the SETAC Europe 34th Annual Meeting. Activities range from practical assistance in session rooms, at the registration desks, with presentation upload to aiding with the award process and more. Join a motivated and enthusiastic team of volunteers and gain your first conference experience. Volunteering at the meeting will help develop both a professional and personal network, resulting in future potential collaborations and many new friendships!

Candidates should meet the following criteria:
  • Have an affinity with Environmental Toxicology and Chemistry;
  • Have a SETAC student account (free, explorer or full);
  • Be fluent in spoken and written English;
  • Have a cooperative and respectable attitude.
Volunteers will receive the following compensation:
  • Complementary conference registration for the annual meetings in 2024 and 2025;
  • Complementary annual full SETAC membership;
  • Ticket to the student gathering in 2024;
  • Accommodation in shared dorm rooms (hostel);
  • An exciting time in an inspiring environment!

Tasks and Schedule

The tasks and schedule may be subject to change. All volunteers are expected to be available:

Volunteers will be assigned to different areas:

  • Registration Desk. The primary responsibility of a volunteer at the registration desk is to welcome meeting attendees, hand out badges and answer questions. Volunteers should have an open and welcoming attitude. The schedule will be packed on Sunday and Monday but usually, there is time to take shifts to see some sessions as from Tuesday.
  • Session Assistance. The session volunteers will assist session chairs and presenters with the technical set-up of the session and act as direct contact with the floating technicians and SETAC staff. The session volunteers will not be able to visit many meeting activities outside the assigned session room but there is some flexibility to choose the session blocks that are of interest.  
  • Speaker-Ready Room Assistance. The volunteers will assist the presenters with uploading and updating their presentation slides and work closely with the technicians. While the speaker-ready room must always be manned by one person during the opening hours, the two volunteers can arrange the shifts between themselves.  
  • Exhibition Services. The volunteers will welcome exhibitors and assist SETAC staff with various tasks, for example, social activities. The schedule is busy, especially on Sunday and Monday but allows for some flexibility.
  • Best Presentation Award. The volunteer will assist with training courses on Sunday and assist SETAC staff with the judging forms and coordination of the Best Presentation Awards. The schedule is usually quite flexible with a peak on Sunday and Thursday.
