SETAC membership provides a significant saving on registration fees. Join or renew your SETAC membership before registering to access member rates.

Early bird deadline is 25 July 2026.

To qualify for the early bird rate, delegates must both register and pay in full by this date.

 

Note on currency: SETAC Asia-Pacific is a registered not-for-profit organization in Australia, and fees are billed in Australian Dollars (AUD). Amounts shown in USD and JPY are approximate only and are based on exchange rates at the time of publication (approximately AUD 1 = USD 0.72 / ¥109).

The Gala Dinner is a separate ticketed event and not included in the registration.

Gala Dinner 

Join fellow attendees for an evening of celebration, featuring a Japanese-inspired dining experience with food, drinks and cultural entertainment. Gala dinner tickets are sold separately from meeting registration and can be purchased during registration or added later via your SETAC account.

Program Participants

All program participants – including speakers, poster presenters, session chairs, panelists, moderators, training course instructors, program committee members and volunteers – are required to register and pay the applicable registration fee to attend the meeting.

The deadline for all program participants to register and pay is 1 August 2026.

Financial Assistance

SETAC will not provide financial support for meeting participants. All travel and meeting-related expenses, including airfare, ground transportation, accommodation, meals and travel insurance, are the responsibility of the participant.

Registration Policies

Registration and payment policy

One registration per attendee is required. Registrations are non-transferable and cannot be passed to another person.

Payment methods

  • Payment by credit card (Visa, MasterCard, AMEX) is strongly preferred. Card details can be submitted during online registration or added later via your SETAC account.
  • Payment by bank transfer is also accepted. Please allow 3–10 business days for funds to reach the SETAC Asia-Pacific bank account. Bank details are provided on the invoice. Cheques will not be accepted.

Early bird eligibility

To qualify for the early bird rate, you must both register and pay in full by 25 July 2026. If payment is not received by this date, the regular rate applies and the difference will be invoiced.

Invoices and on-site payment

Invoices are issued by email and can be viewed in your SETAC account at any time. If no payment has been received prior to the conference and no proof of payment is presented at the registration desk, the outstanding amount must be paid on site to gain access to the meeting.

Cancellation policy

All cancellations must be submitted in writing to the SETAC Asia-Pacific office at [email protected]. Cancellation of a presentation does not automatically cancel your registration, and vice versa.

Cancellation fee schedule

  • On or before 18 August 2026: No cancellation fee will be charged.
  • 19 August–12 September 2026: A cancellation fee of AUD $250 applies for full meeting registrations.
  • After 12 September 2026: No refunds or cancellations will be considered.

Additional conditions

  • Refunds, where applicable, will be processed after the meeting. The cancellation fee will be deducted from any amount already paid.
  • If you cancel after 18 August but have not yet paid, the applicable cancellation fee is still due.
  • Delegates who do not attend the meeting remain liable for any outstanding registration fees.
  • Fees are non-transferable to another participant, meeting or SETAC membership.
  • SETAC reserves the right to convert the meeting to a virtual format in exceptional circumstances. In-person registrations will be treated as virtual registrations and the cancellation policy remains unchanged.
